Role: Personal Assistant/Training Co-Ordinator
Hours: 4 days per week (2 days office based)
Rate of pay: £16 per hour
Responsibilities:
- Act as the point of contact among leadership team, employees, clients and other external partners
- Manage information flow in a timely and accurate manner
- Manage leadership team’ calendars and set up meetings
- Make travel and accommodation arrangements
- Rack daily expenses and prepare weekly, monthly or quarterly reports
- Format information for internal and external communication – memos, emails, presentations, reports
- Take minutes during meetings
- Screen and direct phone calls and distribute correspondence
- Organise and maintain the client filing system and manage waiting lists
- Organise and co-ordinate large online training programmes with clients and other external partners
- Maintain and build a comprehensive database of industry contacts and other relevant contact
- Troubleshoot and handle any issues that arise on the training day
Requirements and skills:
- Minimum 4-years work experience as an Executive Assistant, Personal Assistant or Training Co-Ordinator, Events Planner
- Excellent MS Office knowledge
- Excellent knowledge of Microsoft teams and running large training programmes on this platform
- Outstanding organisational and time management skills
- Familiarity with supporting staff facilitating training programmes
- Excellent verbal and written communications skills
- Discretion and confidentiality
- PA diploma or certification is a plus
- Able to work to tight deadlines
- Ability to manage time pressures
- Preferably worked in healthcare setting
- Preferably efficient in social media including Facebook, LinkedIn and Instagram
