Personal Assistant / Training Co-Ordinator – Healthy You Ltd

Role: Personal Assistant/Training Co-Ordinator

Hours: 4 days per week (2 days office based)

Rate of pay: £16 per hour


  • Act as the point of contact among leadership team, employees, clients and other external partners 
  • Manage information flow in a timely and accurate manner
  • Manage leadership team’ calendars and set up meetings
  • Make travel and accommodation arrangements 
  • Rack daily expenses and prepare weekly, monthly or quarterly reports
  • Format information for internal and external communication – memos, emails, presentations, reports
  • Take minutes during meetings
  • Screen and direct phone calls and distribute correspondence
  • Organise and maintain the client filing system and manage waiting lists
  • Organise and co-ordinate large online training programmes with clients and other external partners 
  • Maintain and build a comprehensive database of industry contacts and other relevant contact 
  • Troubleshoot and handle any issues that arise on the training day

Requirements and skills:

  • Minimum 4-years work experience as an Executive Assistant, Personal Assistant or Training Co-Ordinator, Events Planner
  • Excellent MS Office knowledge 
  • Excellent knowledge of Microsoft teams and running large training programmes on this platform
  • Outstanding organisational and time management skills
  • Familiarity with supporting staff facilitating training programmes
  • Excellent verbal and written communications skills
  • Discretion and confidentiality
  • PA diploma or certification is a plus
  • Able to work to tight deadlines
  • Ability to manage time pressures
  • Preferably worked in healthcare setting
  • Preferably efficient in social media including Facebook, LinkedIn and Instagram
